UK fleet compliance checklist for MOT, tax and insurance dates
Use this simple checklist to keep the core vehicle dates in a small UK fleet visible, reviewable and assigned to someone before a deadline is missed.
For every active vehicle
- Record the registration exactly as shown on the vehicle.
- Give the vehicle a useful internal label, such as “Van 3” or “Site pickup”.
- Check the current MOT status and due date against the official GOV.UK service.
- Check the current vehicle-tax status and available due information against DVLA.
- Record the insurance renewal date from your policy or broker documentation.
- Name the person responsible for arranging the next action.
- Keep a short note when a date is queried, renewed or awaiting confirmation.
A simple monthly review routine
- Look ahead: review anything due within the next month.
- Assign it: make one person responsible for booking or renewing it.
- Confirm it: do not treat a diary entry as completion; check that the MOT, tax or insurance action has actually been completed.
- Update the record: enter the new date as soon as the renewal is confirmed.
